We are seeking a Special Projects Coordinator to join our team. In this role, you will serve as an Arts in Action Grant Program Administrator and Production Coordinator.
Essential Duties/Responsibilities:
Supports the Senior Director of Education and the Arts in Action Team in the following ways:
- Serves as Company Manager/Production Coordinator for Where Did We Sit on the Bus? co-production with the Arsht Center
- Keeps tabs on production timelines, budgets, and deliverables
- Coordinates artist communications, payments, schedules, workshops, and logistics.
- Serves as the primary point of contact for participating artists, artistic team, education partners, contractors, and volunteers.
- Collaborates with the Kravis Technical Director and Production Stage Manager to ensure all technical and logistical elements are executed to the highest standard.
- Participates in production meetings and maintains clear documentation of decisions, timelines, and responsibilities.
- Coordinates the contracting of cast/crew and future booking of in-house production with other Florida presenters.
- Acts as the central hub for Arts in Action program communication between education, programming, production, marketing, development, finance, and front-of-house.
- Serves as Jazz in Unexpected Places Project Coordinator by providing administrative support for all facets of the exhibit including opening, tours, performances, presentations, screenings, discussions, etc.
- Serves as Project Coordinator for future visual and multimedia exhibits.
- Serves as Project Coordinator providing administrative support for all aspects of the Electric Root Residency including Community Conversations and culminating concert Let Love Lead.
- Provides general support to the Senior Director of Education and other Education Department staff on a variety of programs and special projects as needed.
- Collaborates with Programming, Education and Community Outreach staff to assist in arranging PEAK artist community outreach activities and pre- or post-performance discussions for the PEAK Series.
- Provides programmatic support for the Fotokids Residency at Gove Elementary.
- Other duties as assigned.
Qualifications/Experience:
- Bachelor’s degree and 3-5 years of experience in performing arts production management
- Strong organizational and project management skills with the ability to manage multiple priorities.
- Strong interpersonal, written, and verbal communications skills
- Excellent organizational and analytical skills
- Professional, outgoing and positive demeanor
- A curious mindset and flexibility to respond quickly and thoughtfully to unanticipated needs of complex projects.
- Experience working with curators, artists, and creative teams.
- Proficiency in production scheduling tools and Microsoft Office
Physical Demands/ Work Environment:
This is a full-time, in-office position with occasional off-site responsibilities related to specific programs. The role requires flexibility in scheduling, including availability for early mornings, evenings, and weekends, based on event and program needs.
Must be able to sit for extended periods and move freely throughout the office environment to perform essential duties. Adequate visual and auditory acuity is required, including the ability to work on a computer for prolonged periods. The position also involves the ability to lift, carry, push, or pull items weighing between 5 and 30 pounds, as needed.
