We are seeking a full-time Executive Assistant to the CFO and VP of Development to join our team. In this role, you will provide high-level administrative and operational support to the Chief Financial Officer and the Vice President of Development. This role is ideal for a seasoned professional who brings strong organizational skills, sound judgment, and a collaborative spirit, and who is eager to play a meaningful role in building and supporting a high-performing finance and development team within a nonprofit environment.
Essential Duties/Responsibilities:
- Provide proactive and independent administrative support to the CFO and VP of Development, including calendar management, meeting coordination, travel arrangements, and preparation of materials
- Draft, edit, and proofread professional correspondence, reports, proposals, presentations, and internal communications
- Serve as a key point of contact for internal staff, board members, donors, and external partners, representing the organization with professionalism and discretion
- Assist with finance- and development-related processes, including invoice tracking, expense reports, budget support, donor documentation, pledge tracking, and report preparation
- Proactively coordinating meeting logistics, event preparation, follow-up materials, and stewardship communications
- Maintain accurate records and files related to finance, development, and governance, ensuring confidentiality and attention to detail
- Manage multiple priorities and deadlines simultaneously, anticipating needs and resolving issues efficiently
- Contribute to the ongoing improvement of administrative systems, workflows, and team processes
Qualifications & Experience
- Minimum of 5–7 years of progressively responsible administrative experience, preferably supporting senior leadership and nonprofit environments
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); comfort working with databases and CRM systems a plus
- Excellent verbal and written communication skills; strong business writing and editing abilities required
- Working knowledge of nonprofit finance and fundraising practices, or the ability to quickly develop fluency in these areas
- Highly organized, detail-oriented, and able to manage competing priorities in a fast-paced environment
- Demonstrated professionalism, discretion, and sound judgment when handling confidential information
- Self-starter with the confidence to work independently and the mindset to support team-building and organizational growth

Physical Demands/ Work Environment:
This role is a fully on-site position in a professional office environment. Must be able to move throughout the office to attend meetings, interact with staff, and access files or equipment as needed. Requires frequent and prolonged periods of sitting at a desk, working on a computer, composing and reviewing documents/reports/correspondence. Must possess sufficient visual acuity to read documents and operate a computer. Adequate hearing ability is required to participate in meetings and communicate effectively with employees/volunteers/external partners at all levels. Work is performed in a climate-controlled office environment with typical noise levels associated with business operations.
